    Swim Team Parents,

    Below and attached you will find the Volunteer Guide for WCC Swim Team. We will be releasing the sign up link for this season's opportunities tomorrow morning, Saturday 5/25 at 8:30am. Spots can fill up quickly, so don't forget to set a reminder! Opportunities to volunteer for Interclub will come at a later date. 

    • We ask that each family volunteer 2x throughout the season.
    • If a family chooses not to volunteer, there is a $100 opt out fee per family.

    Volunteer Guide

    The success of the swim team is dependent on parent involvement by every family on the team. Volunteer support helps make all of the events run more smoothly and make them more fun! And, swim meets truly go much faster when we are working as a team!

    Volunteer Job Descriptions

    1. Friday Donut Pickup – Each week, donuts will be ordered to pick up on Fridays in the bakery department at the Meijer on Carmel Drive. The parent assigned to this position will pick up the donuts around 9:45am to have them delivered to the pool by the end of the first practice (10am). Don’t forget napkins!

    2. Home Meet Set Up – The parents assigned to this position will help the swim moms and coaches to prepare the pool deck for the swim meet which includes moving and setting up furniture, putting up signage, etc.

    3. Swim Event Announcer –The host team arranges for someone to act as announcer using the provided equipment to do so. Announcing for each meet must be loud enough to be understood by participants, officials and spectators. At all times the announcer should know what is going on. This includes the event number, number of heats per event etc. This keeps the meet running smoothly.

    4. Timers – One timer is assigned to each swim lane and the Swimmingly app is used for recording the times. For parents assigned to this role, a short training will take place prior to each swim meet. Parents that sign up to time the First Half will time from the start of the meet through the backstroke event. Parents that sign up for Second Half will take over after the backstroke event.

    5. Swimmers Line Up Parents assigned to this volunteer position will assist the coaches in lining up swimmers for their assigned events and heats. The heat sheet will need to be reviewed prior to the swim meet to help it run as smoothly as possible. Parents, please speak with your own children about being respectful and good listeners when it’s time to line up – there will be a lot of kids to corral into the correct position. Similarly to timers, parents that sign up to line up swimmers for the First Half will assist from the start of the meet through the backstroke event. Parents that sign up for Second Half will take over after the backstroke event.

    6. Hospitality – The parent that volunteers with this position will focus mainly on providing water, moving umbrellas to provide shade, etc. to all volunteers and coaches during the meet. This person will also “float” around the pool during the meet to see if they can assist in any area that is needed. Similarly to timers, the hospitality volunteer for the First Half will assist from the start of the meet through the backstroke event. The parent that signs up for Second Half will take over after the backstroke event.

    7. Home Meet Tear Down/Clean Up The parents assigned to this position will help the swim moms and coaches to tear down signage, return furniture to its original position, etc. after the swim meet is completed.

    8. Ribbon Filing – Parents that volunteer for this position will need to be present at the WCC pool on Thursday morning, the day following the swim meet. Ribbon filers will be responsible for placing the completed ribbon labels on the appropriate award and placing them into a box that is sorted by family name.
